PharMentor (“we”, “us”, “our”) provides a pharmacy clinical training follow-up platform for colleges, supervisors, and enrolled students. This Privacy Policy explains how we collect, use, store, and share information when you use the PharMentor student mobile app, supervisor web portal, and related services at pharmentor.app.

1. Who this policy applies to

• Students enrolled in a training program whose institution has added them to PharMentor.
• Supervisors and college staff who use the PharMentor web portal.
• Visitors who browse our public website or contact us.

PharMentor is intended for institutional use. Student accounts are provisioned by the college or supervisor; there is no open public student registration.

2. Information we collect

Account and roster information

• Name, university ID, phone number, and training program details provided by your institution.
• Supervisor account username and contact details managed by your organization.
• Device identifiers used to secure student sign-in and session management.

Training and attendance data

• Training schedules, assigned pharmacy sites, and start/stop training events.
• Location data submitted during active training sessions to verify on-site presence.
• Task submissions, including photos taken for on-site verification assignments.
• Training hours, progress summaries, and related academic oversight records.

Communications

• Private messages between a student and their assigned supervisor within PharMentor.
• Support or contact form messages you send to us.

Technical and usage information

• App and server logs, IP address, browser or device type, and general usage analytics.
• Crash reports and diagnostic data to maintain reliability and security.
• Push notification tokens if you allow notifications on your device.

3. How we use information

We use personal information to:

• Provide, operate, and improve the PharMentor platform.
• Verify student attendance at assigned training sites during scheduled hours.
• Enable supervisors and colleges to review progress, tasks, and communications.
• Send service-related notifications (for example, tasks, messages, or training reminders).
• Protect the security and integrity of accounts and our systems.
• Respond to support requests and institutional inquiries.
• Comply with applicable law and institutional obligations.

We do not sell personal information. We do not use PharMentor data for cross-app advertising tracking.

4. Location information

The student app may request location permission so attendance can be verified during active training. Location is used for training oversight — for example, to confirm presence near an assigned pharmacy during scheduled hours. We do not use location for unrelated advertising purposes.

You can manage location permissions in your device settings. Some features may not work correctly if location access is denied during training.

5. How information is shared

We may share information in these circumstances:

• With your institution: supervisors, coordinators, and authorized college staff who manage your training program.
• With service providers: trusted vendors that help us host, secure, notify, and monitor the platform (see Section 6).
• For legal reasons: when required by law, regulation, legal process, or to protect rights, safety, and security.
• With your consent or at your institution’s direction, where applicable.

Messages and task photos are shared only within the PharMentor platform for supervision purposes; they are not published on a public feed.

6. Third-party services

PharMentor may use third-party services such as:

• Cloud hosting and our own API infrastructure at pharmentor.app.
• Firebase (Google) for analytics and app configuration.
• OneSignal for push notifications.
• Sentry for error and crash reporting.
• Apple Maps / Google Maps when opening pharmacy map links on your device.

These providers process data on our behalf under their own terms and privacy policies, and only as needed to deliver the service.

7. Data retention

We retain information for as long as needed to provide the service, support academic oversight, meet institutional requirements, resolve disputes, and comply with legal obligations. Retention periods may be set by your college or training program. When an account is removed from the institutional roster, access to the student app ends and data may be archived or deleted according to institutional policy and applicable law.

8. Security

We use administrative, technical, and organizational measures designed to protect personal information, including access controls, encrypted transport (HTTPS), and monitoring for abuse. No method of transmission or storage is completely secure; we work to reduce risk and respond to incidents promptly.

9. Your choices and rights

• Notifications: you can disable push notifications in device settings.
• Location and camera: you can manage permissions in device settings; some training features require them.
• Access and correction: contact your college supervisor or PharMentor support to update roster or account details.
• Account removal: student accounts are managed by the institution. To request removal or a privacy inquiry, contact us (Section 11).

10. Children and students

PharMentor is used in educational and training contexts under institutional supervision. Accounts for students are created by their college or program administrator, not through open self-registration in the app.

11. International use

PharMentor is primarily used for pharmacy training programs in Jordan. Data may be processed on servers operated by us or our service providers. By using the service, you understand that information may be processed in locations where those providers operate.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Continued use of PharMentor after changes become effective constitutes acceptance of the updated policy where permitted by law.
